Raiffeisen-Volksbank eG (RVB) is a regional cooperative bank headquartered in East Frisia. With a balance sheet total of approximately 2 billion euros and around 300 employees, it is an important employer in the region, operating a main location in Aurich as well as nine branches in the districts of Aurich, Leer, and Wittmund.

As a modern employer, RVB embraces hybrid working: three days in the office and two days working from home per week is the target model. With this flexibility, the company aims to remain an attractive employer while also using its office space more efficiently.

Challenge

When RVB introduced hybrid working, it quickly became clear that the traditional assigned desk for every employee no longer fit the new reality. Someone who works from home two days a week doesn't need a permanent desk in the office — and yet enough desks must be available for everyone who is on-site.

To meet these changing requirements, RVB is gradually redesigning its branches. While not all locations have been fully converted yet, wherever renovations have been completed, the bank relies on flexible space concepts and modern workstations. One particularly clear example of this realignment is the Wittmund location: to also improve accessibility, the upper floor was sublet to a local partner. Only the ground floor is now used, cutting the available space in half. At the same time, the company has invested significantly in modern technology to implement the hybrid work model.

It can't be efficient if we make massive investments in technology and then still provide a dedicated desk for every employee. A 1:1 workstation ratio — that simply cannot be the goal.

Against this backdrop, a solution was needed to use the limited space as efficiently as possible. The bank was looking for a desk booking tool that would be easy to use for both employees and administrators, and that would work across multiple locations — since RVB employees regularly work at other branches and should be able to book a desk anywhere without hassle.

The rollout was remarkably fast: the system was set up and ready to use after just half a day. Since then, employees can book their desk in Wittmund and at various other locations via app or web. Those who want to know when colleagues will be in the office can check directly in the app and plan their day accordingly.
